Through the website, MEETINGPACKS, S.L. informs about the Sports
& Events Europe, SportsMeet and other different activities organised by the
company in the field of Sports Tourism, Events and MICE.

(hereinafter, the user), which implies the full and unreserved acceptance of
each of the provisions included in this Legal Notice as well as any other legal
provisions that apply.

provider reserves the right to modify any type of information that may appear

said obligations, with publication on the website of the provider being

PARTICIPATION TERMS FOR SUPPLIERS

General Event Terms

These General Event Terms apply to participation in events organized by Meetingpacks, SL, operating under the brand Sports & Events World, including Sports & Events Europe, Sports & Events Türkiye, and any other related editions.

Participation in an Event, including signing an Offer, registration, or payment of the participation fee, constitutes acceptance of these Terms.

Definitions

 Event
Any Sports & Events workshop or related edition organized by the Organizer.

Supplier
A company purchasing a participation package in the Event.

Buyer
An invited attendee selected or approved by the Organizer to participate in business meetings with Suppliers.

Participation Package
The participation product purchased by the Supplier as described in the Event Offer.

Delegate
The individual attending the Event on behalf of the Supplier.

Supplier Kit
The document describing the commercial structure of the Event participation package, including the type of participation, meeting format, program structure and inclusions associated with the purchased participation.

Event Format

Sports & Events events are designed as B2B matchmaking workshops connecting international buyers with destinations, venues, hotels and tourism suppliers.

The Event typically includes:

  • a structured program of one-to-one business meetings
    • networking activities
    • presentations or destination experiences
    • official meals and social activities

The commercial structure and participation format of each Event are described in the Supplier Kit or Event Offer, which details the participation package purchased by the Supplier.

The Organizer may make reasonable adjustments to the operational aspects of the Event program when necessary for logistical or operational reasons, provided that the overall nature and value of the participation package are not materially affected.

Meeting Program

The Event is structured around a pre-scheduled program of business meetings between Suppliers and invited Buyers.

The Organizer undertakes reasonable efforts to curate the Buyer attendance and to facilitate meaningful business meetings through the Event scheduling platform.

The meeting program is designed to provide participants with a structured agenda of appointments based on mutual interest and the format of the Event.

Participants acknowledge that the final number and composition of meetings may occasionally be affected by circumstances such as participant cancellations, travel disruptions or scheduling adjustments.

The Organizer therefore facilitates and organizes the meeting program but does not guarantee specific commercial outcomes resulting from the meetings.

Delegates are expected to attend their scheduled meetings and participate actively during the official meeting sessions.

Supplier Participation

Participation in the Event is personal to the Supplier.

Participation may not be resold, sublet or transferred to third parties without prior approval from the Organizer.

Suppliers may replace their Delegate before the meeting agenda is finalized.

Delegates must comply with venue regulations, health and safety requirements and the official Event program.

Promotional activities must take place only within designated areas and within the official Event program.

Payment Terms

Participation fees must be paid according to the payment terms stated in the Event Offer or invoice.

Participation is confirmed upon receipt of payment.

Late payment may result in removal from meeting agenda production, reduced matching opportunities or cancellation of participation.

Any bank transfer costs are the responsibility of the Supplier.

Cancellation by Supplier

Cancellation requests must be made in writing to the Organizer.

The applicable cancellation policy will be the one stated in the Event Offer.

Where refunds apply, they are normally processed within 30 business days.

Subject to availability, participation may be transferred to:

  • another company within the same organization or business group
    • a future edition of the Event

Transfers are subject to Organizer approval and any applicable price differences between editions.

Cancellation by Organizer

If the Organizer cancels the Event and does not reschedule it within a reasonable period, the Supplier may choose between:

  • a refund of the participation fee paid
    • a credit toward a future edition of the Event

Travel and Accommodation

Unless explicitly included in the Event Offer, participants are responsible for their own:

  • travel arrangements
    • accommodation
    • visas and entry requirements
    • insurance

The Organizer is not responsible for travel disruptions or related expenses.

Media and Image Rights

The Event may be photographed, filmed or otherwise recorded for documentation and promotional purposes.

By participating in the Event, participants grant the Organizer permission to use photographs or recordings in which their delegates may appear for the following purposes:

  • promotion of the Event
    • communication and reporting related to the Event
    • promotion of future editions of events organized by Sports & Events World

Such materials may be used in channels including event websites, social media, marketing materials and press communications.

The Organizer will not use participant images in connection with third-party commercial products or for purposes unrelated to the promotion of the Event or future editions organized by the Organizer.

Participants may request not to participate in interviews or individual close-up recordings.

Data Protection

The Organizer processes personal data in accordance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR).

Personal data may be used for purposes such as:

  • event administration
    • meeting scheduling
    • participant communication
    • access management
    • invoicing

Participant information may be shared with other participants through the Event platform where necessary to facilitate meetings.

Liability

Participants attend the Event at their own risk.

To the maximum extent permitted by law, the Organizer’s total liability in connection with the Event shall not exceed the participation fee paid by the Supplier.

The Organizer shall not be liable for indirect or consequential losses, including loss of profits, revenues or business opportunities.

Nothing in these Terms excludes liability that cannot legally be excluded under applicable law.

Insurance

Participants are responsible for obtaining appropriate insurance for their delegates, including travel insurance, medical insurance and coverage for personal property.

Force Majeure

Neither party shall be liable for failure or delay in performing obligations due to events beyond reasonable control, including natural disasters, war, government restrictions, pandemics, strikes or venue unavailability.

In such circumstances the Organizer may:

  • reschedule the Event
    • change the location of the Event
    • adapt the format of the Event

Participation will remain valid for the modified Event where possible.

Event Management and Control

The Organizer retains full control over the planning, organization and execution of the Event.

This includes decisions regarding event schedule, meeting formats, networking activities, venue layout, branding, event production and participant invitations.

The Organizer may make reasonable adjustments to the Event program when necessary for operational or safety reasons.

Participant Conduct

Participants are expected to behave in a professional and respectful manner throughout the Event.

The Organizer reserves the right to restrict or remove any participant whose behaviour disrupts the Event, creates safety concerns or damages the reputation of the Event.

In such cases participation may be terminated without refund.

Compliance with Laws and Venue Regulations

Participants agree to comply with all applicable laws, regulations and venue policies in connection with their participation in the Event.

Participants are responsible for obtaining any permits, licenses or approvals required for their activities during the Event.

Governing Law

These Terms are governed by the laws of Spain.

Any disputes shall be subject to the jurisdiction of the courts of Barcelona, Spain, unless mandatory law provides otherwise.

Acceptance

Participation in the Event, including signing an Offer or making payment, constitutes acceptance of these General Event Terms.
